Scheduling: Apple Calendar integration

How to set up your Apple Calendar (iCloud) integration and let Introwise check your calendars for conflicts and add new sessions as events.

You can connect Apple calendar (also known as iCloud calendar) to your Introwise account. Introwise will automatically add scheduled sessions to your integrated calendar, and will also remove any times that aren't available in your Apple Calendar so you do not have double bookings.

You can connect multiple Apple Calendar accounts, as well as connect additional Google Calendar or Microsoft Outlook accounts.

Before you begin: obtaining Apple app-specific password

In order to connect an Apple Calendar account to Introwise you need to generate an app-specific password in your iCloud settings. Follow this guide from Apple to learn how to obtain an app-specific password.

Important: your regular Apple account password will not work for connecting your account to Introwise.

Connecting your Apple Calendar account

To start syncing your Introwise availability with your Apple Calendar please follow these steps:

  1. Go your Scheduling settings by clicking on it in the top menu
  2. Scroll down to Connected calendars and click on Manage connected calendars (link to get your there)
  3. Click on Connect button opposite to the Apple Calendar section
  4. Enter your Apple ID that you use to log in to your Apple Calendar account
  5. Enter the app-specific password that you've obtained in your iCloud settings
  6. Click Connect

Once connected, you will see which calendars Introwise is checking for conflicts and writing new sessions to. By default only your primary calendar is used, but you can sync any calendar that you have access to with your Apple account.

Changing the calendars used for syncing

Your connected Apple Calendar account might have multiple calendars in it, e.g. one for personal events, one for your soccer practice, etc. It's important to select the right calendars to check for time conflicts and to add new sessions booked with you on Introwise.

If you don't make any changes, Introwise uses your default, or primary, calendar.

To change calendar sync settings follow these steps:

  1. Open your Connected calendars settings (link to get your there)
  2. Click on Edit next to Check for conflicts section to select which calendars will be used to check for time conflicts
  3. Click on Edit next to Add sessions to section to select a calendar where new sessions booked with you on Introwise will be added

You can check multiple calendars for conflicts, but only one calendar can be used for adding sessions to.

Connecting multiple Apple Calendar accounts

You can connect additional Apple Calendar accounts to Introwise.

Experts on the Free and Growth plans can connect up to 2 calendar accounts, and Pro plan experts can connect up to 4 calendar accounts.

To connect additional Apple Calendar accounts follow these steps:

  1. Open your Connected calendars settings (link to get your there)
  2. Scroll down and click on Connect additional calendar accounts
  3. Follow the steps outlined above in the Connecting your Apple Calendar account instructions.

Disconnecting an Apple Calendar account

To stop syncing your Introwise avaiability with your Apple Calendar account and remove Introwise access to your account follow these steps:

  1. Open your Connected calendars settings (link to get your there)
  2. Find the account you want to disconnect and click Disconnect next to it

If you want to start syncing with that Apple Calendar account again you'll need to re-connect it and grant fresh permissions to Introwise.

Troubleshooting

I've received an email that my Apple Calendar account is no longer connected to Introwise

Introwise has only a limited access to your Apple Calendar account. If you received an Action required email, that means that either you revoked Introwise access to your account, or it was terminated for security reasons.

To reconnect your Apple Calendar account simply follow the link in the email, or go to the Scheduling > Connected calendars settings and click on Reconnect button opposite to the Apple Calendar account that is no longer connected.

Some of my calendars don't show up on Introwise

Calendars that you see in your Apple Calendar can be owned by you, or shared with you. Shared calendars are usually available in the read-only mode, and some calendars might be available for writing as well.

Introwise can check for conflicts all the calendars that you have a read access to. But for adding sessions only the writable calendars will be displayed.

If you don't see some of your calendars on Introwise, try to refresh the page to force Introwise reload the list of your calendars.

Which events from my calendar will be treated as time conflicts?

All times that are marked as busy or out-of-office on your calendar will be treated as unavailable on Introwise. This includes all-day and multi-day events.

If you don't want some of your events to block your availability on Introwise, you can mark the as "free" on your calendar, or change remove this calendar from conflicts checking (see Changing the calendars used for syncing instructions above)

How Introwise uses your calendar data

Read calendars on your account

To allow you to select the calendars to check for conflicts or add sessions to Introwise reads the list of calendars that you have access to on your account.

Read your free/busy information

To check for time conflicts Introwise reads start and end times of the periods that are shown as "busy" on the calendars you have selected. Introwise does not read or store your event details, such as title, attendees, etc.

Write to the calendars you own

Introwise automatically creates and updates events on the calendars you have selected for new sessions scheduled or booked. Introwise does not read, modify or store other events on your calendars.
