Scheduling: Creating sessions series

How to create a permanent series and schedule group or individual session on specified dates

Sessions series feature allows you to easily pre-schedule multiple sessions of the same type on specified dates which is perfect for regular office hours or workshops, being it a one-person session or a session with multiple participants.

Series are shown on your booking pages the same way as services, with all your pre-scheduled sessions listed in one place.

Series can also be included in packages, so you can create comprehensive offerings that combine both services with flexible booking and series with pre-scheduled group or personal sessions.

Creating a series

To create a new series follow these steps:

  1. Click Scheduling in the top menu
  2. Scroll down to Group sessions - Services and click on Add new series
  3. Provide your series details
    1. Title is the name of this service that you and your clients will see
    2. Description that is shown on your booking page
    3. Duration is how long the session scheduled within this series should be. (Note: you can adjust an individual session duration after scheduling it)
    4. Price that will be charged for a single session, before any discounts. If you have a payment processing connected, then the payment will be taken at the moment of booking. To create a Free series leave the price as zero.
    5. Group size determines how many slots within a single session can be booked. To create a one-person session leave this value as 1. (Note: you can adjust an individual session group size after scheduling it)
  4. (Optional) Mark you series as hidden to hide it on your booking page and only show to clients that have a direct link to it.
  5. Click Save

Once the series is created it will appear in the list of series in your Scheduling settings.

Scheduling sessions for a series

Once you have your series set up you can quickly schedule upcoming sessions in that series and make adjustments if needed.

To schedule a session for a series:

  1. Click Scheduling in the top menu
  2. Scroll down to Group sessions - Series and click on the series name that you want to schedule sessions for
  3. Click on the Schedule button in the Upcoming sessions section
  4. Pick the start date and time and click Save
  5. Your scheduled session will appear in the list of upcoming sessions, and under the series name on your booking page

After you schedule a sessions in a series you can adjust its duration or group size by clicking Edit on that session in the list of upcoming sessions on a series editing page.

Getting a direct link to a series

By default, unless hidden, your series are shown on your booking page and anyone can access them by your booking page link. In addition to that, or to give access to a hidden series, each series has a unique direct link that your clients can use to go directly to that series.

You can find the direct link on the series's editting page:

  1. Click Scheduling in the top menu
  2. Scroll down to Group sessions - Series and click on the series name that you want to edit
  3. The direct link to that series will appear on the right (when viewed on Desktop) or below editting form (if viewed on Mobile)
  4. Click on that link to copy it to your clipboard

Please note that all series links are unique, but anyone who has the link will be able to view and book sessions in that series. Don't post your hidden series links online unless you want them to be public.

Editing and removing a series

You can edit or delete your series at any time and your already scheduled sessions for that series won't be affected.

  1. Click Scheduling in the top menu
  2. Scroll down to Group sessions - Series and click on the series name that you want to edit or delete
  3. Click Edit below that session name
  4. Make your changes and click Save or click Delete to remove your service

If you delete a series that has upcoming sessions scheduled, then all that session will be removed from that series and will become standalone one-time sessions.

Cloning a series

Series can be easily cloned without the need to re-type or copy existing information.

  1. Click Scheduling in the top menu
  2. Scroll down to Group sessions - Series and click on the series name that you want to clone
  3. Click Clone below the editting form
  4. A new series creation page will open with the cloned series informaton copied
  5. Make adjustments and click Save

Cloned series don't maintain any relationship between them. You can edit or delete them independently.

Troubleshooting

The series is not shown on the booking page

If the series is not shown on the booking page that means that it is marked as hidden. If you want your series to appear on your booking page simply follow the steps above to edit it and mark as not hidden.
